The role of human resource department in document management including data storage should not be underestimated. Without a proper data handling in an organization, the external data capture may not be viable. For instance, the external data management firm relied heavily upon data updates from the company for safe storage and back up. However, these back ups cannot be guaranteed if the employees do not avail the data for off-site storage and archiving.

The HR managers should ensure that they help in hiring employees who are competent enough to manage data including data storage. Employees’ behavior also needs to be monitored so as to ensure that they do not mishandle company data. Employees may have company data on their laptops and iPhones and if they do not take precautions to protect the data, they may loose it. Without an external data capture, this can implicate negatively on the business continuity.

One aspect that needs to be noted is that although the HR department may do its best in enhancing data management, there are data storage risks, which can cause havoc in data management. For example, when fire, theft and floods occur, data stored internally can be destroyed or lost and this means that the business operations are slowed or stagnated. However, with a back up and archiving from an external data capture and back up firm, the data can be restored within a short time.
